Wafeq

Connect a Wafeq organization key for invoices, optional payment recording, wallet expenses and receipts.

Wafeq integration

Connect Wafeq from Bookkeeping → Integrations → Wafeq. Choose whether to import invoices, accept MakePay invoice payments, review wallet expenses and receipts, create invoices for incoming payments, and receive in-app notifications.

Connect an organization

  1. In the intended Wafeq organization, create an organization API key with the accounting permissions you need. Follow Wafeq's authentication guide.
  2. Open Connect, enter the key, and select Check API key.
  3. Confirm the detected organization name, ID and base currency. An API key belongs to one organization. To choose another organization, use a key created there.
  4. Choose your receiving or clearing account, expense account, revenue account, customer and tax treatment as needed. Account choices come from the connected organization; a receiving account must accept payments.
  5. Enable only the workflows you want, then save the connection. Credentials are encrypted and are never returned to your browser after saving.

Connecting imports invoice data by default. Payment recording, invoice-note changes, wallet monitoring, automatic exports and notifications all start disabled.

Invoice payments

Enable Accept and record MakePay invoice payments to make imported open invoices payable through MakePay. Optionally add MakePay links to Wafeq invoice notes. Check your Wafeq PDF and email templates to confirm where those notes appear.

Checkout reads the live customer, currency and balance. Only confirmed MakePay settlement records can create a Wafeq receipt. Demo payments, mismatched values, changed customers and ambiguous previous payments wait for review. Browser redirects do not mark invoices paid.

The connector records the payment through the selected receiving account and verifies its allocation to the invoice. Foreign-currency invoices retain their Wafeq accounting exchange rate. Disabling new invoice payments does not cancel already completed checkouts awaiting reconciliation.

Wallet expenses and receipts

Enable Watch selected wallet addresses, choose active connected addresses, and turn on Detect outgoing expenses. Monitoring starts when enabled and syncs a chain at a time. Confirmed outgoing transfers appear in Manage → Transactions. Transactions identified as MakeSwap swaps and transfers between your connected addresses are excluded.

Open a transaction to confirm its fiat amount, currency and any exchange rate. Upload an invoice or receipt, then select Export expense. Supporting files are attached to the Wafeq expense. Wafeq controls the expense's posting status; an export can affect its ledger. Only files uploaded to this company's bookkeeping storage can be exported.

Require an invoice or receipt is enabled by default. Automatically export approved expenses is optional and also requires an approved local bookkeeping expense, its confirmed fiat value, the selected accounts and any required receipt. An on-chain token quantity is never assumed to be a fiat amount, including stablecoins.

Incoming payments and new invoices

You can select an imported invoice for an incoming wallet payment and export its receipt manually. Currency and balance must agree; partial receipts may not exceed the outstanding balance.

Optional Match invoices by exact reference uses a unique explicit invoice reference. It does not infer a match from a similar amount or date. Optional Create invoices for unmatched receipts requires a confirmed fiat value and your chosen customer, revenue account and tax treatment.

New invoices default to Draft. Finalize a draft in Wafeq, then export its receipt to record payment. If you explicitly choose Finalized, the automation can create the invoice and record the receipt. Review your tax and customer mappings before enabling this option. Existing Invoice Ninja, Odoo and accounting checkout flows are excluded from wallet export to avoid duplicate receipts.

For USD valuations in a different base currency, enter your approved accounting exchange rate. Other foreign-currency values can be confirmed individually. The connector does not invent market prices or exchange rates.

Notifications and recovery

Choose notifications for expenses needing review, invoice matches, exported records and sync problems. They are opt-in, delivered in-app and deduplicated.

Sync runs in batches about every five minutes. The panel shows the most recent 100 imported invoices and wallet transactions. Larger invoice accounts continue importing over subsequent batches; a periodic full scan supplements incremental updates.

If an accounting write times out, the connector searches for the same stored reference before doing anything else. Uncertain writes and receipt uploads wait for manual review instead of creating another record. Check the Wafeq record and its reference before retrying. Do not create a replacement record to clear an error without checking the original.

Use Replace API key to rotate credentials for the same organization. Disconnect pauses unpaid checkout links. Completed payments must be reviewed first. Reconnect the original organization to review a settlement arriving after disconnect.
